Believe it or not, the average office worker receives 60-200 e-mail messages per day, and it is estimated that over 7 trillion e-mails were sent last year!
Between this high volume of e-mail communication and the faster pace we work at these days, it’s worthwhile to learn how to have effective e-mail communication.
For successful e-mail writing, consider following the guidelines in the list below.
These tips are suitable for all types of effective e-mail writing, including effective e-mail marketing:
1. Send brief, clear messages. No one has the time or energy to scroll through and read a dozen pages.
The shorter the e-mail you write, the higher the chance it will be read, so your message will get across.
Using bulleted points is an efficient way of presenting information.
2. Send multiple messages for more than a few topics. If you have many topics to address through e-mail communication, send each one in a separate message.
This will ensure that the recipients will read your messages.
Also, you’ll get faster responses that you can more easily keep track of; instead of searching through massive e-mails for buried information, find the details quickly in the shorter, more organized messages you’ll have.

How to Write a Perfect Professional Email in English

It’s important to always open your email with a greeting, such as "Dear Lillian,". Depending on the formality of your relationship, you may want to use their family name as opposed to their given name, i.e. "Dear Mrs. Price,". If the relationship is more casual, you can simply say, "Hi Kelly," If you’re contacting a company, not an individual, you may write "To Whom It May Concern:"

If you are replying to a client’s inquiry, you should begin with a line of thanks. For example, if someone has a question about your company, you can say, "Thank you for contacting ABC Company." If someone has replied to one of your emails, be sure to say, "Thank you for your prompt reply." or "Thanks for getting back to me." If you can find any way to thank the reader, then do. It will put him or her at ease, and it will make you appear more courteous.

If, however, you are initiating the email communication, it may be impossible to include a line of thanks. Instead, begin by stating your purpose. For example, "I am writing to enquire about …" or "I am writing in reference to …" It’s important to make your purpose clear early on in the email, and then move into the main text of your email. Remember to pay careful attention to grammar, spelling and punctuation, and to avoid run-on sentences by keeping your sentences short and clear.

Before you end your email, it’s polite to thank your reader one more time as well as add some courteous closing remarks. You might start with "Thank you for your patience and cooperation." or "Thank you for your consideration." and then follow up with, "If you have any questions or concerns, don’t hesitate to let me know." and "I look forward to hearing from you."

The last step is to include an appropriate closing with your name. "Best regards," "Sincerely," and "Thank you," are all professional. It’s a good idea to avoid closings such as "Best wishes," or "Cheers," as these are best used in casual, personal emails. Finally, before you hit the send button, review and spell check your email one more time to make sure it’s truly perfect!

Combining Ideas to Write Descriptive Paragraphs

Writing well constructed paragraphs is the corner-stone of good English written style. Paragraphs should contain sentences that convey ideas concisely and directly. This lesson focuses on helping students develop a strategy for combining various ideas into well formed sentences which then combine to produce effective descriptive paragraphs.

Aim: Developing descriptive paragraph writing skills

Activity: Idea grouping and consolidation at the sentence level leading to descriptive paragraphs

Level: Intermediate to upper-intermediate

Outline:

  • Introduce the topic of writing paragraphs by asking students what they consider a well formed paragraph. Introduce the idea of concise sentences as being integral to good English written style.
  • Have students take a look at the example sentences and paragraph.
  • Ask students to group the sentences in the example based on the ideas that go together as shown in the following paragraph (i.e., person and describing adjectives, etc.)
  • Individually or in pairs, ask students to group sentences in the first exercise.
  • Based on this grouping, ask students to write descriptive paragraph.
  • Ask students to complete creative writing exercise by following similar steps. (i.e., choose subject, create idea sentences, group sentences, write paragraph)
  • Choose some of the compositions to be read aloud in class. Ask students to comment on the examples.

Example: New York City

New York City is in the United States.
New York City is located in New York State.
It borders on the Atlantic Ocean.
It was founded in 1625 as "New Amsterdam".

Tips for Writing a Personal Description about Yourself

  • Use ‘come from’ for the city or country where you were born. Use ‘live’ for the city where you currently live.
  • Use the present simple tense to explain what you do every day.
  • Use ‘have’ or ‘have got’ to speak about your children, pets, etc.
  • Use ‘a’ the first time you mention something. For example, I live in a house. Then use ‘the’ after the first time you write about it. For example, I live in a house. The house is in Seattle.
  • Remember to use he, his, him for boys and men and she, her, her for girls and women. Use ‘our’ when speaking about the whole family.
  • Use ‘like doing’ when speaking about hobbies.

Read the following paragraph. Notice that this paragraph describes a different person that the person who is writing the introductory paragraph.

Mary is my friend. She is a student at a college in our town. The college is very small. She lives in an apartment in the center of town. She doesn’t have a dog or a cat. Tips for Writing a Personal Description about a Friend

  • Remember to add ’s’ to the present simple tense when writing about other people.
  • In the present simple tense, ‘doesn’t’ takes the ’s’ in the negative form. Remember to use ‘doesn’t + verb’ in the negative.
  • Use sometimes, often, never, etc. before the main verb in a sentence.
  • Remember to use he, his, him for boys and men and she, her, her for girls and women.
  • Use ‘enjoys doing’ when speaking about hobbies. It’s okay to connect a few verbs using commas, but place ‘and’ before the final verb in the list when speaking about someone’s hobbies. For example, She enjoys playing tennis, swimming and riding horses.

Exercise

  1. Write a paragraph about yourself. Try to use a variety of verbs and ‘a’ and ‘the’ correctly.
  2. Write a paragraph about someone else. You can write about a friend or a someone from your family.
  3. Compare the two paragraphs and note the differences in pronoun and verb use. For example,

    I live in Seattle BUT She lives in Chicago.
    My house is in a suburb. BUT His house is in the city.

SMS messaging in English

English has a very difficult spelling system, and it can take a long time to spell out one word. So, many people now shorten words to speed up the process. This saves time and money, but it can also confuse people if they are not familiar with the current trends. Also, mastering the language of text messages first requires mastering English.
SMS slang can be broken up into two basic categories: acronyms and contractions.

Acronyms are words formed from the first letter of several words (such as UN for United Nations). In text messaging, acronyms are used for common phrases. Additionally, single letters may replace words that they sound like. Check out these examples:

SMS contractions aren’t the same as regular ones like "don’t" or "they’re", but the purpose is the same: to remove unnecessary parts of words while keeping the meaning clear. Vowels are often eliminated, but you can still make out the general sound of the word. The number 8 sometimes represents the sound of eight, so later becomes l8r. The number 4 is also common as a replacement for the for sound as is 2 for to. Take a look at these SMS contractions:

As you can see, writing this way can be complicated, and you should have a good grasp of English before trying to shorten your messages. Using too many abbreviations will make your SMS confusing to the reader or look unprofessional with your business contacts.

SMS is definitely convenient, but it should be used for casual conversations while keeping your audience in mind. You shouldn’t be sending text messages to your boss! Additionally, remember that messages sent can easily be saved and retrieved, or even sent to the wrong person – so you may find yourself in an embarrassing situation if you are not cautious! The next time you want to send a very personal message think carefully before you press the "Send" button or you might end up sending your boss a message meant for your sweetheart!

  7. Many experts point out that physical exercise contributes directly to a person‘s physical fitness.
  8. Proper measures must be taken to limit the number of foreign tourists and the great efforts should be made to protect local environment and history from the harmful effects of international tourism.
  9. An increasing number of experts believe that migrants will exert positive effects on construction of city. However, this opinion is now being questioned by more and more city residents, who complain that the migrants have brought many serious problems like crime and prostitution.
  10. Many city residents complain that it is so few buses in their city that they have to spend much more time waiting for a bus, which is usually crowded with a large number of passengers.
  11. There is no denying the fact that air pollution is an extremely serious problem: the city authorities should take strong measures to deal with it.
  12. An investigation shows that female workers tend to have a favorable attitude toward retirement.
  13. A proper part-time job does not occupy students‘ too much time. In fact, it is unhealthy for them to spend all of time on their study. As an old saying goes: All work and no play makes Jack a dull boy.

  53. Although people’s lives have been dramatically changed over the last decades, it must be admitted that, shortage of funds is still the one of the biggest questions that students nowadays have to face because that tuition fees and prices of books are soaring by the day.

  73.  In the first place, extra studies bring about unhealthy impacts on physical growth of children. Educational experts point out that, it is equally important to take some sport activities instead of extra studies when children have spent the whole day in a boring classroom.

  75. In the second place, from psychological aspect, the majority of children seem to tend to have an unfavorable attitude toward additional educational activities.

  83. Although parent would be able to devote much more time and energy to their children, it must be admitted that, parent has less experience and knowledge about how to educate and supervise children, when compared with professional teachers working in kindergartens or nursery schools.
  84. From what has been discussed above, we may safely draw a conclusion that, although the parents‘ desire to look after children by themselves is understandable, its disadvantages far outweigh the advantages.
  85. Parents should be encouraged to send their children to nursery schools, which will bring about profound impacts on children and families, and even the society as a whole.
  86. Many leaders of government always go into raptures at the mere mention of artistic and cultural projects. They are forever talking about the nice parks, the smart sculptures in central city and the art galleries with various valuable rarities. Nothing, they maintain, is more essential than such projects in the economic growth.
  87. But is it really the case? The information I‘ve collected over last few years leads me to believe that artistic and cultural projects may be less useful than many governments think. In fact, basic infrastructure projects are playing extremely important role and should be given priority.
  88. Those who are in favor of artistic and cultural projects advocate that cultural environment will attract more tourists, which will bring huge profits to local residents. Some people even equate the build of such projects with the improving of economic construction.
  89. Unfortunately, there is very few evidence that big companies are willing to invest a huge sums of money in a place without sufficient basic projects, such as supplies of electricity and water.
  90. From what has been discussed above, it would be reasonable to believe that basic projects play far more important role than artistic and cultural projects in people‘s life and economic growth.
  91. Those urban planners who are blind to this point will pay a heavy price, which they cannot afford it.
  92. There is a growing tendency these days for many people who live in rural areas to come into and work in city. This problem has caused wide public concern in most cities all over the world.
  93. An investigation shows that many emigrants think that working at city provide them with not only a higher salary but also the opportunity of learning new skills.
  94. It must be noted that improvement in agriculture seems to not be able to catch up with the increase in population of rural areas and there are millions of peasants who still live a miserable life and have to face the dangers of exposure and starvation.
  95. Although rural emigrants contribute greatly to the economic growth of the cities, they may inevitably bring about many negative impacts.
  96. Many sociologists point out that rural emigrants are putting pressure on population control and social order; that they are threatening to take already scarce city jobs; and that they have worsened traffic and public health problems.
  97. It is suggested that governments ought to make efforts to reduce the increasing gap between cities and countryside. They ought to set aside an appropriate fund for improvement of the standard of peasants‘ lives. They ought to invite some experts in agriculture to share their experiences, information and knowledge with peasants, which will contribute directly to the economic growth of rural areas.
  98. In conclusion, we must take into account this problem rationally and place more emphases on peasants‘ lives. Any government that is blind to this point will pay a heavy price.
  99. Although many experts from universities and institutes consistently maintain that it is an inevitable part of an independent life, parents in growing numbers are starting to realize that people, including teachers and experts in education, should pay considerable attention to this problem.
  100. As for me, it is essential to know, at first, what kind of problems young students possible would encounter on campus.
  101. In addition to the obvious problem–loneliness, another major obstacle, in my opinion, is the alien environment of campus.
  102. Freshmen often get lost on campus; fail to find the way to dormitory or library.
  103. Most important of all, apart from their hometown and parents, students couldn‘t catch sight of any familiar face and have to suffer from homelessness, which can cause certain serious mental disease.
  104. In the first place, school authorities should provide far more services to help freshmen to get used to the new life as soon as possible.

2009 will be a time of change. Included in those changes for many will be a job change. In tight economic times, job search skills become even more important. You need to stand out from the crowd.
There are two ways to stand out. You will stand out if you do things that make you look ridiculous, and you will stand out by doing things that make you look remarkable. Ridiculous or remarkable: both cause you to stand out, but one gets you the job and one doesn’t.
Naturally then, you hope to be seen as remarkable. That means you need to create a remarkable resume; remarkable, but not ridiculous. This three-part series will help you prepare a remarkable resume.

1. Understand the goal of your resume
The goal of your resume is simple – to get an interview. Your resume will not get you the job, only the interview. Remembering that goal will help shape how you write your resume. You are not trying to get everything across. You are not trying to tell them every reason they should hire you. You are trying to get across enough information to get the interview – and that’s all.
2. Customize your resume for your job target.
In other words don’t use the same resume for each and every job. Employers can easily tell when you use a blanket resume that is the same for each and every job. Instead you need to use a resume targeted directly for the job you are aiming for. This may mean completely different resumes for each job. For others it may mean a separate resume for each categories of job; for example one resume for all “cook” positions that you apply for.
3. Understand that your resume will only be scanned initially.
Your resume needs to catch attention quickly. Just like a newspaper aims to catch your attention with stories “above the fold”, the top half of the first page will make or break you. If you are not careful, your resume could be filled under “G – for garbage” before the potential employer even starts to read it. Make sure the information on the first half of your resume looks good and instantly shows what you can bring to the employer.
4. Your resume is an ad. You must stress the benefits you will bring to the employer.
Just as in good advertising, your resume must stress the benefits. The places you have worked and things you have studied are your “features”. You need to use your features (experiences) to show how they will allow you to benefit your potential employer.
5. Focus on the employers needs, not on your own.
In order to understand the employers needs you need to learn as much as you can about the job you are applying for. Start with the job posting itself. This job posting will include a job description and job specifications. Make sure your resume clearly connects your skills to the job specifications.
You can go the extra mile by finding someone who works with your potential employer and talk to them about the needs of the company. Use your personal network to make these kinds of contacts. Any extra information can be used to further customize your resume to the employers needs.
6. Ask yourself: “What about me makes me the perfect candidate?”
Asking yourself this question can help you understand how to present yourself on your resume. The answer to this question is what you want to get across first. The better you know the employer, the better you will be able to know why you are the perfect candidate for that job.
7. Put name and full contact information first
Perhaps it is obvious, but the first thing you need to put on your resume, at the very top, is your name and full contact information. It is amazing how many resumes have very little, or even incomplete, contact information. You want to be prepared for any way that the potential employer may want to contact you – remember your goal is simply to get the interview. Include your mailing address, phone numbers, and email address.
8. Use a professional email address and voice mail service.
Be sure your email address is professional looking. Ideally use an email address that includes your name. It is amazing how many resumes use an email address that includes a nickname as their contact information. Email addresses such as “skiergirl” or “skaterboy” or even “successguru” don’t sound professional to someone making hiring decisions.
Also, ensure that any voice mail service you use on these phone numbers includes a professional greeting. And don’t use a phone number where someone else will be taking messages for you. Be sure that either you will answer the phone, or it will go to voice mail. You don’t want to risk someone missing the message or sending across the wrong signal to a potential employer.
9. Lead with a summary paragraph.
Following your name and contact information you want to lead with a summary paragraph. The summary paragraph is where you should present some of the key benefits that will show the employer why you are the perfect candidate for the job. This paragraph should only be about three or four lines long and should be in a formal third-person tone.
10. Know the 3 Types of Resumes.
There are three general types of resumes. The first is chronological. A chronological resume presents your work and educational experience in chronological order with the most recent first. A second type is a functional resume which groups your experience based on job categories. Finally you can use a combined style. A combined style generally uses functions as the overarching pattern, but follows a clear chronological order within the functions. For most people with a variety of work experiences, the combined approach will be the best. It will provide the most opportunity to customize your resume for your employer.
